A completed “Vacation Rental Agreement” is required within 24-hours to hold your reservation. Review and acceptance of the Terms and Conditions which is made part of this rental agreement is required before a confirmation will be issued. Please inquire for other payment terms or to wire.

Ko Olina has been an active market and will be experiencing additional development in the coming years. Although specific dates are yet to be released, please note that between now & 2023 adjacent sites to the Ko Olina Beach Villas may be undergoing significant development and construction. There is the potential of construction for new hotels on the two parcels of land immediately adjacent to the Ko Olina Beach Villas. Traditionally, construction times have run from MF from 7:30AM-5PM. However, access to the Ko Olina lagoons should remain unaffected.   Please feel free to contact our office for construction updates. Mahalo~    



Rates are quoted on a per-night, per week or per month basis as noted. Unless specified, check-in time is after 4:00 p.m. on day of arrival, and checkout time is 10:00 a.m. the day of departure. Rates quoted are for the specified number of guests listed on page 1 and cannot exceed (6 for 2BR’s & 8 for 3BR’s), additional guests may be subject to additional charges or if it exceeds the permissible limit of the room, may be required to make alternative arrangements. Limits are based on House Rules and are subject to fines. Rates vary and are subject to change without notice. All Beach Villa Vacation Rentals assisted by Beach Villa Realty, LLC (Local Agent) for its Owner(s) of record (Owner), come fully equipped with telephone(s), television(s), linens, dishes and utensils and an initial supply of soap and paper goods. Other amenities vary per property.  


ADDITIONAL CHARGES (NOT included in rate) Rates do NOT include daily maid service (unless noted), gratuities, car rental, food, liquor, laundry, personal items, excessive cleaning upon departure (i.e. upholstery or rug shampooing, etc.). This Beach Villa includes up to 2 (two) parking stalls. Most vehicles can fit in a standard size stall.   



Payment of the applicable Rental Deposit amount together with a completed Guest Rental Agreement must be received and acknowledged by Beach Villa Realty, LLC on behalf of Owner payable to owner before a confirmation can be issued. Funds are deposited into the Owner’s Bank Account with Deposits held and returned thru those same accounts as performed by Owner. No grace period will apply. Final payment is due of the remaining balance at the time of thirty (30) day prior to the arrival date or if booked with less than thirty (30) days remaining prior to guest arrival at the time of the initial reservation and must be acknowledged by Beach Villa Realty, LLC. Failure to receive final payment on a timely basis will make reservation subject to cancellation and security deposit could be applied within the provision of this agreement. Beach Villa Realty, LLC assists owners in the management of their property and serves as their Local Agent representative during their stay.   



The property shall be in the same overall condition upon departure as at check-in. Normal wear and tear excepted. Owner or its Agent may enter the property at reasonable times to make repairs or provide maid service (if applicable). Guest may cook in areas specifically designated for cooking. Guest must immediately notify Owner and/or Local Agent of fire or other damage to property. Guest shall be liable for all acts of the family, invitees, employees, or other persons invited onto the property. Guest may not sublet or assign this rental agreement. Guest shall be responsible to return all room keys upon departure (There is a $10 fee per lost key card that is not returned at the end of the guest’s stay). Guest shall abide by the House Rules of the Owner, Property Manager, the Condominium Association and/or the Booking Agent as provided to Guest. Guests shall not bring any pets onto the property. Smoking is not permitted on the property of the Beach Villas at Ko Olina except in the designated smoking area. If violations of the smoking provisions occur, they may be subject to fines as assessed by the Resort Manager for violations within the resort. If smoking is done inside the villa itself, there will be a $500 minimum charge to be deducted from their deposit to recondition the property and remove the smoke odor. There are limits of 10 people in any villa at any time. No catering or outside music permitted without prior consent and a valid reservation for the Member’s Lounge; additional charges may apply. Guest shall not permit any use of pool or Jacuzzi by unsupervised children or unauthorized guests and shall keep gates closed. All authorized users shall use the pool, Jacuzzi, and fitness center at their own risk. Guest understands that there are certain inherent risks to person and property located adjacent to the ocean, including the possibility of drowning. Guest acknowledges that the owner would not rent the property unless the Guest accepted this condition and that there are no lifeguards or other services provided at the Beach Villas at Ko Olina pools and/or the lagoons located at the Ko Olina Resort & Marina.



Guests are required to make a Security Deposit to protect against any damages to and/or loss of items from the Property and to assure payment of items charged to the Guest Account. The deposit will be held by Owner in their Client Trust account and will be returned, minus deductions, not later than 14 calendar days after the termination of the agreement upon notice to the Owner that there are no deductions. Owner is required to provide a written statement at that time itemizing any deductions. Examples of deductions may be, but are not limited to: repair or replace anything that is damaged or missing; to pay any and all amounts due; to change locks and replace all keys or key cards (key and key fob replacement cost is $10 per lost or damaged key) ; fines incurred due to house rule violations as cited by AOAO during their stay; additional departure cleaning expense or to clean excessive dirt (i.e. stained carpets, furniture, walls, appliances, smoking, etc.), remove excessive trash, and/or to restore the unit and it’s items, back to the condition prior to your arrival. If your deposit is not enough to cover the damages and costs, you must pay the extra amount. Any charges are deducted from the security deposit and the balance of the deposit is returned via mail to the leasees address on Page 1 of this agreement unless other arrangements are made in writing.  



Beach Villa Realty, LLC acts as a marketing agent and assists those Owners in additional items required to provide the guests with a quality vacation experience with the enhancement of an on-site presence to improve the experience. Under no circumstances shall Beach Villa Realty, LLC or Owner be responsible for any loss, expense, damages, claims or injury direct, indirect, consequential or otherwise whatsoever, howsoever caused or incurred whether arising in contract or otherwise in law or equity as a result of rendering of the services or accommodations as described or substituted and including, without restricting the generality of the foregoing as a result of any delay(s), substitution(s), rescheduling(s) or change(s) in the provision of services or amenities as determined by the Governing Apartment Owners Association, Resort Manager or General Manager or by military actions, revolution or acts of God, government agencies, epidemics and/or pandemics, or any other unforeseen circumstances or events, by any agents, owners, employees, subcontractors, servants or services as substituted. Beach Villa Realty, LLC and Owner at all times will act in good faith and use its best efforts to substitute with accommodations or services of a type comparable to those contracted and Beach Villa Realty, LLC or Owner will not be liable under any circumstances, including substitutions, to refund any unused portion of booked accommodations or services. Some activities in which guests engage are especially dangerous and include scuba diving, snorkeling, deep-sea fishing, boating, golfing, swimming, boogie boarding, surfing, hiking, biking and mountain climbing. This list is not all-inclusive but indicates some of the hazards of vacationing in Hawaii. Guests may also encounter the following risks: slippery floors and stairs, especially when wet, lanais with spaces between rails (dangerous for little children), precipitous drop-offs on ocean floor, unfenced pools, faulty electrical or plumbing systems, gas BBQ grills, clean/clear sliding glass doors, and dangerous stairs or pathways, Therefore, each guest agrees that he/she is voluntarily participating in any and all activities, risks, and use of the accommodations, and hereby assumes all risk of injury, illness, damage or loss to person and property that might result, including, without limitation, any loss or theft of personal property. By booking this condo, you acknowledge that in all events and circumstances, Beach Villa Realty, LLC, its officers, members and employees and Owner shall not be liable. Beach Villa Realty, LLC as the representative of the Owner, reserves the right to gain consent from Owner to cancel or rescind any rental agreement if it is found that the Guests are conducting unlawful activities, not abiding by the Home Owners Association House Rules, disturbing others by playing loud music, percussion, audio or instruments, or cause any loud or offensive noises, have made any misrepresentations about the nature or size of the group or use of the property or any other misrepresentations that or any other way breach of the rental agreement.   



You must tell us in advance if you will be absent from the property for 5 days or more. If you do not give us this notice, you will have to pay for any damage that results from your absence.   



If you stay in the unit, without written permission, after the Rental Agreement has ended, you will be a holdover tenant and may be liable for twice the rent being collected under the Rental Agreement on a prorated daily basis for each day you are a holdover tenant. If you leave any personal property, which we determine to be of value, we must contact you by mailing a notice. After 20 days, if you do not respond, we may advertise the items for sale or donate them to a charitable organization. If we must give any notice to you, we can serve it to any listed occupant of the apartment. By serving one of you, we have given notice to all of you. If we cannot deliver a notice to you, we may post the notice in a conspicuous place on the outside of the door.   



An additional $100.00 administrative fee may be charged by Beach Villa Realty, LLC for any change to a booking after a Confirmation has been issued. Acceptance of any change is subject to approval by Beach Villa Realty, LLC and the Owner.   



You understand that our insurance does not cover your belongings or damage that you cause. You agree that Beach Villa Realty, LLC, or Owner, or Beach Villas at Ko Olina AOAO, are not responsible for any loss or damage during the term of this rental agreement. You acknowledge it is your responsibility to carry your own insurance covering all of your property located in the unit and that the tenant bears full responsibility for its damage including damage from fire, water, theft, or any other causes.   



Cancellations after initial payments are made but before 60 days of the reservation’s arrival date are eligible for a full refund with written notification to Beach Villa Realty prior to 60 days of arrival. Once arrival date is less than 60 days away, cancellation may result in forfeiture of the entire rental amount unless it is able to be booked for all or some of those dates, at which point a credit would be returned. Refund of monies paid for rental and services will be made under the following circumstances: (1) If, on the day that the rental is scheduled to begin, the property is physically unfit for habitation and no equivalent substitute can be obtained, or the property is not reachable by any of the usual means of transportation to Oahu for the duration of the reservation’s dates or access to the property by visitors has been completely prohibited by authorities. If a portion of the rental time is rebooked, a pro-rata refund will be made including any additional booking fees, change fees or reductions in nightly rent. To protect against cancellations caused by certain unforeseen events, such as illness, death, natural disasters, or any unplanned events, we recommend that guests purchase Travel Insurance to include Trip Interruption Protection tailored to their circumstance and existing conditions to protect themselves in those events. Such insurance is available through travel agents, travel clubs such as AAA, some credit cards or online from various providers.

If a catastrophe (hurricane, tornado, earthquake, flood, public health & safety proclamation, etc.) or any event simply beyond the control of Beach Villa Realty, LLC and/or Owner impairs the use of the apartment, Beach Villa Realty, LLC and/or Owner are not responsible for finding alternate lodging for the renter or for any of the renter's financial losses related to transportation or alternate lodging. There will be NO REFUNDS OR CREDITS FOR EMERGENCY EVACUATIONS. Whether you own property, run a business, or rent a condo in Hawaii, the threat of a hurricane, flood, or tsunami is always present, and we all assume this risk. Therefore, we suggest you consider Travel Protection Insurance to secure your vacation investment and eliminate your financial risk. There will be no refunds of any kind for evacuations.   



I/we, the undersigned, hereby apply for the above listed accommodation and warrant that I/we have read, understand and agree to the terms and conditions of this application, and I/we agree to abide by homeowners’/agents’ restrictions on use of said property. I/we further acknowledge that Beach Villa Realty is acting as marketing agent for the owner and is also its on Island Local Agent Contact. Further the undersigned also understands and represents that they are executing this application on behalf of all parties named on the guest list and that all intended occupants are listed.   




Beach Villa Realty, LLC and/or Michael Hege’, R, Principal Broker and sole proprietor of Beach Villa Realty, LLC is a licensed real estate broker in the State of Hawaii and has an ownership interest in the following Villas at the Beach Villas at Ko Olina: OT 801, BT 702, OT 301, OT 621, OT 711 and OT 302.

Important Notice on COVID 19 REFUND POLICY:

*While Hawaii has the 14 day quarantine on arrivals without travelers providing a qualifying negative COVID 19 test, our reservations will be entitled to receive a full refund or change of dates if a listed occupant of your reservation agreement tests positive during the 72 hour prearrival testing regimen and provides a copy of those test results to us prior to your scheduled arrival.
